Watch: approving a payout
Swipe the screen to move between steps.
Find payouts to review
Open Payouts in the sidebar and filter by Pending. The list shows the ticket, technician, model, amount, status and the date each payout was created. A Super Admin has the same list under Payouts in the admin console.
In the app, open the Payouts tab and choose Pending.
Read the breakdown
The page also shows the job, its invoice and the technician's bank account.
- Model: Fixed, Percentage or Hybrid.
- Fixed amount or Percentage of invoice, depending on the model.
- Invoice subtotal: the job's invoice before discount and VAT, which a percentage is taken from.
- Computed amount: what the technician will be paid.
Correct the amount
- On a Pending payout, select Edit amount.
- Under How they are paid, choose Fixed, Percentage or Hybrid, and enter the amount per job or the share of the invoice.
- Select Save payout. The amount is recalculated from the job's invoice.
You never type the payout amount itself, and once a payout is approved it can't be edited.
Approve
Select Approve and confirm. The payout moves to Approved and shows who approved it. Every approval is recorded in the audit log.
In the app, open the payout and tap Approve at the bottom of the screen. Edit amount is on the same screen.
Where pay rates come from
A payout uses the rate set on the job, or else the technician's default rate. Rates are set by operations or a Super Admin, not from the accounting console. A job with no rate creates no payout.
Tips
- For a percentage payout, compare Invoice subtotal with the invoice before you approve.
- Approve what you are ready to pay soon: approved payouts are your list of payments to make.
Frequently asked questions
- Why is there no payout for a closed job?
- The technician had no pay rate, on the job or as a default, when the invoice was paid. Ask operations to set one for future jobs.
- Can I change a payout after approving it?
- No. Edit amount is available only while the payout is Pending.
- Why does a percentage payout come to zero?
- The job has no invoice, so a percentage has nothing to work from. Only a fixed amount counts in that case.
- Can operations managers approve payouts?
- No. They can see payouts, but approving and paying need the payout management permission, which accountants and Super Admins have.
