Prepare a quotation for the office

After your diagnosis you can price the job yourself. Your quotation does not go to the client: it waits as a draft for the office, which reviews it, may adjust it and sends it.

Step 1 of 4

When you can prepare one

The Quotation card appears on the job when it shows Diagnosis submitted, Revision requested or Quotation rejected. Select Prepare quotation on it.

This is for technician accounts. A corporate account working a job does not price it; the office does.

Build the quotation

  1. Open the job and select Prepare quotation. In the app it opens a full screen; on the web, its own page.
  2. Add a line for each part and piece of work, with its description, quantity and unit price. Select Add line item for more lines.
  3. Enter a Discount if one was agreed, the Valid until date and any Notes for the client.
  4. Check the totals. VAT at 15% is added automatically.
  5. Select Submit to office.

After you submit

The job's status does not change. The Quotation card shows the quotation number and total, with the office for review.

Until the office starts on it, you can open it again with Edit quotation and change it. Once the office edits or sends it, the card reads The office is now working on this quotation, and you can no longer change it.

One draft per job

A job has one draft at a time. If the client asks for a revision or rejects the quotation, the card appears again and you can prepare a new version. It starts from the last quotation, so you only change what is different.

Tips

  • Start from the parts and estimate in your diagnosis, so the two match.
  • Put exclusions or conditions in Notes; the client reads them on the quotation.

Frequently asked questions

Why don't I see Prepare quotation?
The job is not at a quotation stage, the office has already taken the quotation over, or you are signed in with a corporate account.
Does the client see my quotation straight away?
No. It goes to the office first. They review it, may change it and send it to the client.
Can I change it after submitting?
Yes, with Edit quotation, until the office edits or sends it.
