Record or correct an on-site payment

Sometimes a client pays the technician on site, for example for a spare part. These payments count against the approved quotation. Office staff can record them too, and fix mistakes.

Where on-site payments appear

On the ticket, the Collected on site card lists each payment with who collected it and when, and the Total collected on site. The job total does not change; the payments reduce what is still owed.

Record a payment

  1. On the ticket, select Record on-site payment.
  2. Under Spare parts, add each Part or item with its Qty and Price (SAR), exactly as the client paid. No VAT is added.
  3. Choose the Method (Cash or Bank transfer), the Payment date, and optionally a Reference and a Note.
  4. Select Record payment.

Correct or remove

Select Edit on a payment to fix it, then Save changes. The payment is then stamped as corrected by you.

Select Remove and confirm to delete a payment recorded by mistake. The amount goes back onto the job's balance, and the audit log keeps the details.

Limits

  • On-site payments can be recorded only between an approved quotation and the invoice.
  • The total can never be more than what is still owed on the job.
  • Once the job is invoiced, the payments become part of the invoice and can't be changed.

Web and app

Both work the same way. In the mobile app, open the ticket and use the Collected on site card.

Tips

  • Ask the technician for the receipt number and put it in Reference.
  • Correct a payment before the invoice is issued. After that, changes go through the invoice.
