When you can record one
Record on-site payment appears on the job once the client has approved the quotation, until the job is invoiced, and only while something is still owed. Before approval there is no price to pay against; after the invoice, the office records payments on the invoice.
Record the payment
- Open the job. Under Collected on site, select Record on-site payment.
- Under Spare parts, enter each Part or item with its Qty and Price (SAR). Select Add part for more lines.
- Under Payment, choose the Method: Cash or Bank transfer.
- Add a Reference, the Payment date and a Note if you have them. They are optional.
- Check the Amount collected and select Record payment.
How the amount works
- Type each price exactly as the client paid it. No VAT is added; the approved quotation already includes it.
- The form shows what is still owed on the job, and you cannot record more than that.
- The job total does not change. The money comes off the balance the client still has to pay.
After you record it
The client is notified and sees the payment on their request as a receipt. Operations is notified too.
You cannot edit or remove a payment once it is recorded. If something is wrong, ask the office: they can correct or remove it until the job is invoiced.
Tips
- Record the payment before you leave the site, while the amounts are in front of you.
- Put the receipt number in Reference so the office can match the payment.
