Advance payments

For larger jobs you can ask the client to pay part of the price before work starts. The ticket's Payment card tracks what was asked, what was paid and what remains.

Step 1 of 4

The Payment card

On the web, the Payment card sits beside the ticket. In the mobile app, it is on the ticket page. Under Advance payment it shows the status (Requested, Partially paid, Paid or Skipped) with Requested, Paid and Due.

Below that, Job total, Total paid and Remaining balance come from the approved quotation, or from the invoice once there is one.

Request or change the advance

  1. Select Request advance, or Change advance if one exists.
  2. Enter the Amount (SAR). It can't be less than what the client has already paid, or more than the approved quotation's total.
  3. Add a Note to the client if useful.
  4. Select Request advance or Save advance. The client is notified.

When the advance closes

You can request, change or skip the advance until the ticket is invoiced, closed, cancelled or its quotation is rejected. When the invoice is issued, the advance already paid is applied to it.

Internal team tickets take no advance.

Who can do this

Super Admins and Operations Managers by default. Payment links also need the gateway tools permission, which both roles hold by default. If you don't see a button, your role or the ticket's stage doesn't allow it.

Tips

  • Request the advance right after approval, so materials can be ordered without delay.
  • In the app, share the payment link with the phone's share sheet.
  • Record a bank transfer as soon as it shows in the account, so the client isn't chased for money already paid.

Frequently asked questions

Why can't I skip the advance?
The client has already paid part of it. You can still lower it, but not below what was paid.
Why don't I see Create payment link?
The gateway isn't configured, nothing is due, or your role lacks the gateway tools permission.
Can the client pay only part of the advance online?
No. Online payment always covers the full amount due. Partial amounts are recorded by hand.
