Reconcile invoices, payments and payouts

Reconciliation puts each invoice beside the money received against it and the payout for the job. Use it at month end to match the portal against your bank statement.

Open Reconciliation

On the web, select Reconciliation under Finance in the accounting console. It exists only in the accounting console.

In the app, open More and select Reconciliation under Finance.

Read the table

Filter by Status to narrow the rows; the row count shows how many match. Internal team invoices are not listed.

  • Invoice and Client.
  • Status: the invoice's status.
  • Total, Paid and Due: what was billed, what has been received and what is left.
  • Payout: the technician payout for that job.

Export to CSV

  1. Set the Status filter if you want only some invoices.
  2. Select Export CSV. The file holds the rows your filter shows.
  3. Open it in your spreadsheet and match the Paid column against your bank statement.

Every export is recorded in the audit log.

In the app

The app shows the total, paid, payout and due figures at the top, then one card per invoice. There is no export in the app; use the web for the CSV.

Tips

  • Record every bank transfer with its bank reference before you reconcile. An invoice with no payment recorded shows its full amount as due.
  • Filter by Partially paid to chase the remaining balances.

Frequently asked questions

Why isn't Reconciliation in my sidebar?
It is only in the accounting console. Super Admins and operations managers use Reports for financial totals.
Why does the CSV have fewer rows than I expected?
It exports what your Status filter shows. Choose All statuses to export every invoice.
Are internal team tickets included?
No. Internal invoices are settled inside the company and are left out of finance reports.
