Watch: scheduling and completing a visit

The preventive page
Open Maintenance, then Preventive on the website, or More, then Preventive in the app. One card per frequency shows how many visits are open and how many are overdue. Select a card to show only those visits.
Compliance shows the visits completed out of those that have fallen due, that is, due today or earlier. The list below shows unfinished visits first, with filters for Status and Frequency.
Schedule a visit
- Select New schedule, or Schedule a visit on an Active asset.
- Choose the Asset. Only assets in service are listed.
- Choose the Frequency: Daily, Weekly, Monthly, Quarterly, Half-yearly or Annual.
- Pick the Due day. It is a day, not a time.
- Optionally, enter who is doing the visit under Assigned to.
- Select Schedule visit.
Visit statuses
- Scheduled: due more than 7 days from now.
- Upcoming: due within the next 7 days.
- Overdue: the due day has passed and the visit hasn't been started.
- In progress: someone has started it. If its due day has also passed, it carries an Overdue tag and still counts as late.
- Completed: done. It can no longer be edited or deleted.
Record progress
Select Start when the visit begins, and Complete when it is done. You can also select Complete straight from Scheduled. Each asks you to confirm. Before a visit is completed you can still Edit it, to reschedule or reassign, or Delete it.
Good to know
- Visits don't repeat on their own. The frequency is a label: after completing a visit, schedule the next one.
- There are no checklists. Completing a visit is a single action.
- Assigned to is a name you type. It isn't linked to a PrimeFix technician, and nobody is notified.
- When a visit becomes overdue, you get a notification in the portal and by push.
Tips
- Schedule the next visit as soon as you complete one, so nothing falls off the plan.
- Select the Overdue count on a frequency card to see the visits that have slipped.
Frequently asked questions
- Why doesn't my asset appear in the Asset list?
- Only Active assets can take a planned visit. Open the asset, select Edit and set its Status to Active if it is back in service.
- Can PrimeFix carry out the visit for us?
- A planned visit is your own record. To have PrimeFix do the work, raise a service request under Tickets.
- I completed a visit by mistake. Can I undo it?
- No. A completed visit is locked. Schedule a new visit for the work that is still needed.
