Watch: adding a contract
Swipe the screen to move between steps.
The contracts page
Open Maintenance, then AMC contracts on the website, or More, then AMC contracts in the app. Four figures sit at the top: Active contracts in force today, contracts Expiring within 60 days, the Contract value of everything in force and upcoming, and Average compliance across contracts in force.
Search by title, number or provider, and filter by Status or Contract type.
Add a contract
- Select New contract.
- Enter the Title and the Contract number. The number can use letters, digits and hyphens, must be unique in your company, and is fixed once saved.
- Add the Provider if you want to record who the contract is with.
- Choose the Contract type: Comprehensive, Non-comprehensive or Labour only.
- Enter the Contract value (SAR) for the whole term, and the Starts and Ends dates.
- Set Compliance from 0 to 100, then select Create contract.
Contract statuses
- Upcoming: the start date hasn't arrived yet.
- Active: in force, with more than 60 days left.
- Expiring: in force, with 60 days or fewer left.
- Expired: the end date has passed.
- Suspended: you paused it. Select Resume to put it back in force.
- Cancelled: you ended it. The record stays, but it can't be reopened.
Suspend, resume, cancel or delete
On a contract's page, select Edit to change its details, Suspend or Resume to pause it, Cancel contract to end it for good, or Delete to remove it. An expired contract can still be edited, for example to extend its end date, or deleted. A cancelled contract can only be deleted.
Deleting a contract unlinks the assets it covered. They show Not covered until you link another contract.
Linking assets and expiry alerts
Link an asset to a contract from the asset's AMC coverage field. A cancelled contract can't be newly linked.
When a contract in force enters its last 60 days, you get a notification in the portal, by push and by email, once for each end date.
Tips
- Use your provider's own contract reference as the Contract number, so you can match the two.
- Update Compliance after each review with your provider. It is set by hand and doesn't change on its own.
Frequently asked questions
- I made a mistake in the contract number. Can I fix it?
- Not on the same contract: the number is fixed once saved. Delete the contract and add it again with the right number, then relink its assets.
- How do I renew a contract that is about to expire?
- Edit it and move the Ends date, or add a new contract for the next term and link the assets to it.
- Does Compliance update itself from our planned visits?
- No. Contract compliance is a figure you set. The preventive page works out its own visit compliance separately.
